1. Services Provided
The VA Edit provides remote administrative, customer service, content support and business assistance services tailored to each client. The specific services will be outlined in a signed agreement or scope of work before commencement.

2. Payment Terms
All services are billed as per the agreed package or hourly rate.
All packages are paid via a subscription payment model.
Payments are processed automatically on a monthly basis unless otherwise agreed in writing.Late payments may result in services being paused and may incur a late fee of $25 per week.
2.1 Package Payment
The cost of the package is required to be paid via the agreed subscription prior to commencement.
Any additional hours will be invoiced at the end of the package period or when the package renews.
All packages are subject to a minimum commitment of eight (8) weeks. Package hours must be used within the agreed billing period and do not roll over. Any unused hours are forfeited and are non-refundable.
2.2 Subscription Payments
Under the subscription payment model:
The client’s initial payment will be made manually by the client, with subsequent payments automatically deducted on a monthly basis.
Clients will receive a reminder notification two (2) weeks prior to the scheduled payment and again forty-eight (48) hours prior.
Subscription reminders also serve as notice for any changes, pauses or cancellations, which require fourteen (14) days’ written notice.

3. Cancellations, Pauses & Rescheduling
Scheduled calls must be cancelled or rescheduled at least 24 hours in advance.
Packages may be cancelled by either party with fourteen (14) days’ written notice, following completion of the minimum eight (8) week term.
If services are paused for longer than fourteen (14) consecutive days, the service will be considered cancelled and the client’s allocated spot will no longer be held. If the client chooses to restart services at a later date, availability is not guaranteed and fees will reflect current rates at the time of recommencement.
Any hours worked up until cancellation remain billable.

4. Confidentiality
All information shared with The VA Edit will be treated with the utmost confidentiality and will not be shared with third parties without written consent, unless required by law.

5. Intellectual Property
Clients retain ownership of all original content and materials they provide.
All final deliverables created by The VA Edit under this agreement become the property of the client upon full payment.
Any pre-existing templates, systems, tools, or processes created by The VA Edit and used in the delivery of services remain the property of The VA Edit. These materials are provided to the client under a non-exclusive, non-transferable, perpetual licence for internal business use only and may not be sold, shared, or distributed to third parties without prior written consent from The VA Edit.
The VA Edit may display non-confidential work in a portfolio or for promotional purposes unless otherwise agreed in writing.

6. Communication & Availability
Communication is conducted via email, WhatsApp, or scheduled Zoom calls.
Standard response times are within 24 business hours, Monday to Friday, 9am–5pm AWST (excluding public holidays).

7. Client Responsibilities
Clients are responsible for:
Providing clear instructions, timely access to platforms/tools, and relevant materials.
Approving or providing feedback on work in a timely manner.
Maintaining respectful communication.
7.1 Structure of Service
To ensure efficient delivery of services:
All tasks for the week must be submitted in writing via Notion, WhatsApp or email by Mondays.
Expected completion of work is by Friday, unless otherwise discussed and agreed.

8. Liability
The VA Edit will take reasonable care and diligence but is not liable for:
Indirect or consequential losses.
Errors resulting from incorrect or incomplete information provided by the client.
Technical issues outside our control (e.g., platform outages).

9. Refund Policy
Due to the time-based nature of services:
No refunds are provided for hours already worked or completed services.
Package payments are non-refundable.
If a service has not yet commenced, refunds may be issued at the discretion of The VA Edit.

10. Changes to Terms
The VA Edit reserves the right to update these Terms & Conditions with seven (7) days’ notice to existing clients.
